We seek your consent to obtain and process personal data for the purpose of providing you with the highest standard of service. We want you to know what we do with your personal data and why and with this privacy statement we aim to be as transparent and granular as possible. Online Ed Teacher Solutions understands that your information is entrusted to us and we are committed to protecting and respecting your privacy. To this end Online Ed Teacher Solutions complies with data protection legislation. This privacy policy is designed to tell you about our practices regarding the collection, use, storage and disclosure of personal information that we hold about you and which you may provide when either contacting us for an enquiry or registering with us to use or access our services.

When we refer to “personal information” in this policy, we mean information that could or has the potential to identify you as an individual or provides information about you. Accordingly, we may hold and use information about you as a customer, a client, or in any other capacity, for example, when you visit our sites, complete a form, access our services or speak to us.

The Selectio site is controlled and owned by Online Ed Teacher Solutions referred to in this privacy statement as ‘we’, ‘us’ or ‘our’. We host data in servers located within Ireland using cloud solutions with our service provider we have implemented appropriate security to protect the personal information you disclose to us from loss, misuse, unauthorised access, disclosure alteration and destruction.

By using the site or any of our selectio platform, you agree to the terms of this Privacy Policy. Whenever you submit information via these sites, you consent to the collection, use, and disclosure of that information in accordance with this Privacy Policy.

What personal information do we collect from you when you access our sites and services?

When you contact us to enquire or use our service, we will collect personal information about you to enable us to provide you with the services. Information collected will be kept securely and only accessed processed in accordance with General Data Protection Regulation.

In order to deliver our services, selectio.ie needs to process the following categories of personal data. It is important to obtain, use and store information about you, in order for us to deliver the best possible service. This personal data includes:

Personal details such as your name, date of birth, address, telephone numbers, email address, PPS, number, identification, teacher qualifications and bank details.

We collect financial data required to comply with Irish Tax law such as VAT numbers, PPS numbers, account details for the purpose of paying and sending invoices.

Your personal data is stored on remote secure server. We ask that you please inform us of any significant changes, such as a change of address or other contact details, at your earliest convenience.

The information you have ‘explicitly’ given us occurs when you fill out registration of interest forms, register an account, submit your personal details, submit work history, or provide us with other personal information actively. We collect that information for processing and use in accordance with this Policy. Because we change our offerings and features from time to time, the options you have to provide us with personal information may also change. Here are some examples of situations in which you will have the opportunity to provide personal information to us:

  • Creating a selectio account
  • Signing up for email alerts
  • Completing a form related to our services
  • Uploading a Teacher Qualifications
  • Contacting us via an enquiry/ expression of interest form
  • Contacting us for technical support or customer service
  • Complete customer surveys on our site or via a solicited email

 

If you contact us, we may keep a record of that correspondence.

 

Recipients of personal data

Under some circumstances, we are obligated to share personal data with third parties with whom we have no contractual relationship. Recipients of personal data may include: the Irish revenue commissioner and law enforcement, should this be required for the investigation, detection, or prosecution of criminal offenses. Access to your personal data is on a ‘need-to-know’ basis. Every effort is made to ensure disclosed personal data is accurate and transferred securely.

The security of information entered via our site and where we store your personal data

We endeavour to protect all information we hold about you by ensuring that we have appropriate security measures in place to prevent unauthorised access, information being lost, destroyed or damaged. We conduct audits to monitor our compliance to Information Security and data protection.

Personal information you provide to us is held on a secure server in locked information centres wherever possible.

The Information and Compliance Officer is responsible for data security in this business. Obtained personal data is accessed on a ‘need-to-know’ basis and thereafter, is stored securely:

  • There is no access for unauthorised persons to manual records, computers or computer monitors within the business
  • The operations team is trained in the secure use of email and the internet
  • The operations team is compliant with the businesses security measures
  • Manual records are stored under lock and key
  • The premises is locked when unoccupied
  • The business software is updated regularly and password protected
  • Software security is audited.

 

The Information and Compliance Officer is responsible for dealing with any incident where personal data has been put at risk of unauthorised disclosure, loss, destruction or alteration. Online Ed Teacher Solutions Ltd and selectio.ie management of any data breach incident will comply with the advice of the Data Protection Commissioners Office (DPCO).

Data transmission over the internet is not completely secure and we cannot guarantee the security of your personal information or other data transmitted to or from our site; any such transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to secure your data and to try to prevent unauthorised access.

The collection, use, and disclosure of data that we collect from you may be transferred to, and stored at destinations outside the European Economic Area (“EEA”) for example our CRM tool is processed by a supplier in the US. It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. In these cases we have implemented appropriate security measures in compliance with the EU Data Protection Directive and General Data Protection Regulations to protect your personal information. By submitting your personal data, and in providing any personal and/or sensitive information to us, you agree to this transfer, storing or processing outside of the EEA. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

 

How do we use your personal information provided through our site?

We use the information we collect to provide our services. In order for us to best provide our services (and to help make it feasible for us to do so), it is essential that we are able to collect and use the information as described in this Policy

In the interests of training and continually improving our services calls to Online Ed Teacher Solutions may be monitored or recorded.

Surveys

We use a third party providers such as Trustpilot, SurveyMonkey, to deliver our surveys. We select our processors carefully to ensure they also provide sufficient data protection guarantees under European Data Protection Legislation.

 

International Data Transfers

As an organisation, we rely on a few third parties services to make sure we are efficient and effective, for example, Trustpilot and SurveyMonkey. Data Protection compliance is a precondition in our vendor selection process. Some third parties may transfer data outside of the EU/EEA. All vendors used by selectio.ie have one or more of the following international data transfer mechanisms in place:

  • Adequacy Decision from the European Commission
  • Binding Corporate Rules (BCRs)

CCTV

Online Ed Teacher Solutions premises are monitored by CCTV for the purpose of security and images and videos may be retained for a limited period.

 

Accessing and updating your information

Choices regarding your personal information

In addition to your rights outlined above, if you are an individual consumer (a “Candidate”) of Online Ed Teacher Solutions services and have an ‘Selectio’ account, you can manage your account settings in the “My profile” section on the Selectio Platform where we provide you with the opportunity to delete any unwanted personal information stored in our database. Candidates can also manage settings for email marketing from Online Ed Teacher Solutions in this section. If you wish to update this information and do not have access to the Selectio Account, please email: info@selectio.ie.

If you are a “Client” (i.e. a school) and wish to update your Client information, please email info@selectio.ie or alternatively through your profile section on the Selectio Platform.

 

How to request your personal information or close your selectio account

Log into your account and go to your dashboard view. Select ‘My Account’ from the top right. You can then select ‘Delete My Account’.

If you’d like Online Ed Teacher Solutions to no longer hold your personal information, you can ask us to do so by sending an email request to: info@selectio.ie we will then delete this information within 72 hours. When your personal information is deleted, any information you have submitted will be pulled from the display on our systems, however, we reserve the right to keep any information in a closed account in our archives that we deem necessary to comply with our legal or regulatory obligations, resolve disputes and enforce our agreements. If, after we delete your information, you wish to know which personal information we still keep, you can proceed in accordance with your rights set out above.

 

Data Rights

You have the right to:

  • Request a copy of information we hold about you
  • Request rectification of the data should there be any mistakes
  • Object to the use of your data and the right to block any specific uses of your data
  • Have the data we have on you permanently erased unless we have to retain this data to comply with a legal obligation by European or Member State law or unless we have an overriding interest to retain it

Security Safeguards

Security. We employ physical, electronic, and managerial measures to safeguard the information we collect online. However, no company can fully eliminate security risks, so we cannot make guarantees about any part of our services. You are responsible for keeping your username and password secret. Once you have registered with us, we will never ask you for your password. Please create a unique password for your Selectio account and do not use it for any other web services or applications. Do not share your password with anyone else.
